We currently collect and process the following information:
- Name(s).
- Property address and correspondence address.
- Phone number(s).
- Email address(es).
- Record of payment of Service Charges.
- Your property and ownership details.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one or more of the following reasons:
- For us to deal with any queries or issues which you, or somebody else, has raised regarding the Little Meadow estate.
- To enable us to administer and collect the service charges applicable to your property.
We may also receive personal information, directly or indirectly, from the following sources in the relevant circumstances:
- From any previously appointed managing agent who might have held your personal information and who is obliged to make it available to LMC upon a change of appointment.
- From a legal adviser, financial adviser or a lender upon the purchase, sale or financing of a property at Little Meadow.
- From the owner of a property in which you reside, where that owner considers it appropriate or necessary for this information to be passed to LMC.
We use the information that we hold so that we can communicate with you and so that we can ensure that Little Meadow’s general maintenance and upkeep is kept to a high standard; also so that we can ensure that the Little Meadow estate is a pleasant and harmonious place in which to live.
We may share this information with our currently appointed managing agent; any managing agent we may appoint in the future; and with any other parties who have been engaged by LMC specifically to ensure that you abide by your contractual commitments.
Under the UK General Data Protection Regulation (UK GDPR), the lawful basis which we rely upon for processing this information is:

How we store your personal information
Your information is securely stored.
We may transfer your information outside the UK and/or EEA where data is stored in cloud storage such as Apple iCloud or Microsoft OneDrive, for example. Where information is transferred outside the UK or EEA we ensure that there are adequate safeguards in place to protect your information in accordance with this notice.
We will keep all your personal information for three years after you sell your property at Little Meadow. We will then dispose of your personal information by deleting it from our systems.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
